Information Technology Administrator

Remote (United States)

Role overview

The Information Technology Administrator manages enterprise AI tools, access, connectors, and configurations for a distributed workforce. As an individual contributor reporting to the Senior Manager, Business Applications, the role administers Glean and Rovo and supports BizApps resources in Claude, Gemini, and AWS Bedrock, ensuring that tools expose only information each employee is authorized to access.

The Business Applications team supports collaboration, connected systems, and process automation across departments. Its platforms include Jira, Jira Service Management (JSM), Confluence, Rovo, Loom, Glean, and Workato. This position partners with IT Admins on shared platforms and the Senior Engineer on complex agents and automations, with a defined development path toward Senior Engineer.

Platform Administration and Governance

  • Manage Glean data connectors, user permissions, configuration, and usage monitoring, and maintain Rovo agent availability, access, and settings within the Atlassian environment.
  • Configure and support Projects, Skills, Gems, and agents in Claude, Gemini, and AWS Bedrock, including access groups and workspace settings for Business Applications resources.
  • Handle AI platform provisioning, deprovisioning, and licenses using role-based access control (RBAC).
  • Build and maintain lower-complexity agents, Projects, Skills, and Gems for business teams; involve the Senior Engineer for complex builds.
  • Collect use-case requirements, data-source information, and access details from AI enablement requests, then route work to the appropriate platform and owner.
  • Apply data handling standards and least-privilege controls with Security and IT Engineering. Check connector permissions against source-system permissions.
  • Monitor misuse, permission drift, and unexpected data exposure, escalating concerns to Security and the Senior Manager.
  • Maintain an audit-ready inventory of AI tools, connectors, and deployed agents, including owners, purposes, data access, and review dates.
  • Track platform releases, assess effects on access and data handling, and communicate relevant changes.
  • Write employee guidance and enablement materials for approved AI tools, and report adoption, license utilization, and platform health.
  • Scope and complete moderately complex projects with limited direction, maintaining integrity, customer satisfaction, and continual process improvement. Responsibilities may change as business needs evolve.

Required Experience

  • A bachelor's degree in Information Systems, Computer Science, Business, or a related field, or equivalent practical experience.
  • Three or more years in IT, business systems administration, or SaaS platform administration, including hands-on AI or enterprise search platform work and support for a distributed or remote-first workforce.
  • Hands-on administration of at least one enterprise AI, enterprise search, or comparable SaaS platform, covering users, roles, permissions, and integrations.
  • Experience configuring Projects, Skills, Gems, agents, or similar capabilities in at least one of Claude, Gemini, Glean, Rovo, or AWS Bedrock.
  • Understanding of RBAC, least-privilege access, and how source-system permissions affect AI retrieval and information exposure.
  • Ability to troubleshoot connector, configuration, and access issues, and escalate with clear diagnostic information.
  • Working knowledge of Jira and Confluence, SSO and identity-provider concepts, and basic APIs and connector integrations.
  • Ability to plan and deliver moderately complex projects with little managerial direction, document clearly for technical and nontechnical employees, and follow security and data handling requirements.

Additional Qualifications

  • Company-wide deployment or administration of enterprise AI or search platforms with measured adoption.
  • Experience creating agents, Projects, Skills, or Gems used in everyday work.
  • Reviewing AI access against data classifications or compliance requirements such as SOC 2.
  • Python, JavaScript, or other scripting skills for administrative automation.
  • Interest in integration and solution engineering; AWS, Atlassian, or similar certifications; and experience in high-growth SaaS or cybersecurity organizations.
