Program Assistant

Remote (United States)

Role overview

Program Assistant

Support fellowship and leadership programs at a nonprofit working to end factory farming by developing the next generation of advocates. This full-time remote position is open to applicants based in North America. The role focuses on organized, responsive experiences for applicants, participants, and alumni, with responsibility for recurring administrative processes and program systems.

Responsibilities

  • Prepare virtual events and session links for the Leadership Academy and Academic Year Fellowship, monitor live sessions, and keep programming on schedule.
  • Maintain participation and onboarding records, follow up on missed sessions and assignments, answer routine questions, and complete end-of-program processes.
  • Process applications, monitor the admissions inbox, schedule interviews and welcome calls, conduct a share of those calls, and keep applicant records accurate during busy periods.
  • Track fellow and alumni engagement, achievements, campaigns, and career outcomes. Review records, gather missing information, and update systems used for learning, reporting, and grant applications.
  • Create recurring task structures, roll over annual program resources, and format decks and documents for use.
  • Coordinate across program teams as priorities change, communicating progress, capacity, and competing demands.
  • Own projects and recurring processes, use judgment about when to work independently or ask for guidance, and identify opportunities to simplify or automate work.

Qualifications and Working Expectations

  • At least one year of work experience, including part-time work or internships, involving recurring administrative, coordination, or operations tasks completed on schedule. Graduates of the organization’s Academic Year Fellowship may apply without meeting this experience requirement.
  • A commitment to a long-term career in ending factory farming and an interest in growing responsibility.
  • Excellent organization and attention to detail, diplomatic persistence in following up, and clear, warm, concise writing.
  • Good judgment about answering routine questions and escalating matters that need additional support.
  • Confidence with spreadsheets and the ability to learn platforms quickly. Experience with Zoom, Google Workspace, Asana, Airtable, or Circle is helpful but not required.
  • Willingness to use AI thoughtfully to improve efficiency and work quality.
  • Shared vegan and anti-speciesist values, including not consuming animals or animal products and rejecting the treatment of nonhuman animals as resources.
  • Commitment to direct, constructive feedback, examining assumptions, meeting deadlines, and proactive remote communication with responses within a few hours.

Schedule and In-Person Gatherings

Availability must follow the program calendar: Academic Year Fellowship sessions run in the evening, while the summer Leadership Academy runs on weekday mornings in Pacific Time. Two annual in-person gatherings are required: a team retreat typically during the first full week of June and a summit anticipated around the first week of August beginning in 2027.

Compensation, Benefits, and Application

Salary is $62,000 per year and is non-negotiable under an equity and transparency policy. Benefits include health, dental, and vision insurance and unlimited PTO.

Submit a resume and an explanation of your interest through the application link. Applications are reviewed on a rolling basis, with the aim of filling the role as soon as possible. The process includes a skills task, screening interview, competencies interview, work history interview, and reference checks. Submission indicates acceptance of the privacy policy. Applicants from all backgrounds are encouraged to apply.
