Role overview

The Administrative Assistant IV supports two senior executives on engineering teams, keeping calendars, travel, meetings, and administrative priorities organized. Reporting to the lead Executive Assistant on the Engineering Team, this individual contributor works across the leadership-support team to protect executive time, prepare useful meeting materials, and follow through on commitments. Google Suite, Microsoft Office, Navan, and Zoom are central tools for the role.

Executive and Team Coordination

  • Manage both executives' administrative needs, schedule meetings across time zones, resolve calendar conflicts, and preserve enough time for task completion.
  • Prepare meetings by creating calendar events, drafting agendas, building slide decks, and communicating with participants in advance.
  • Attend meetings when requested to manage Zoom, capture action items, and follow up with attendees.
  • Coordinate team-building events and the operations behind onsite and offsite working meetings.
  • Build a close working partnership with the Administrative Assistant supporting the Consumer Engineering senior executives' Product counterpart, coordinating priorities, cross-functional meetings, strategic initiatives, and organizational planning.
  • Work with the broader leadership-support team to coordinate administrative needs across the organization.
  • Arrange travel and submit expense reports through Navan; prepare documents and presentations in Google Suite and Microsoft Office; reconcile basic team travel and expense budgets; and support ad hoc projects.
  • Continue learning about emerging AI tools and apply them to improve productivity, streamline administrative work, and strengthen executive and team support.

Candidate Profile

  • Two to four years of relevant administrative experience, including experience in a rapidly growing company and a fast-moving work environment.
  • Ability to work independently and collaborate across teams.
  • Working knowledge of Google Suite, Microsoft Office, Navan, and Zoom.
  • Strong organization, resourcefulness, attention to detail, follow-through, and the ability to manage several priorities at once.
  • Professionalism, confidentiality, sound judgment, and a strong work ethic.
  • Ability to handle conflict and give or receive feedback diplomatically.
  • Confidence to challenge requests professionally when appropriate, suggest alternatives, manage expectations, and align decisions with executive priorities and business objectives.

Experience working with engineering teams is desirable, but is not required.

Work Arrangement and Compensation

The posting is designated Remote US. The employer operates primarily remotely, with most roles available from almost anywhere within the country of employment. Its general work policy notes that some positions occasionally require in-person office work and a few are office-based. All new hires are invited to an in-person onboarding experience. This role also coordinates onsite and offsite meetings. Visa sponsorship is not available.

Pay Grade: I. Equity Grade: 3. Annual U.S. base pay is $115,000–$165,000 in CA, WA, NY, NJ, and CT, and $101,000–$151,000 in other U.S. states. New employees typically start near the beginning of the range; placement considers location, experience, and job-related skills.

Approximate hourly equivalents using 2,080 hours per year are $55.29–$79.33 for the first range and $48.56–$72.60 for the second. These are calculated equivalents, not quoted hourly rates. Base pay is distinct from a total package that may include equity rewards and monthly health, wellness, and technology stipends.
