Position summary
Support the founder of a fast-moving investment firm through executive assistance, proactive coordination, and independent problem-solving. The role requires startup experience and the ability to manage changing priorities, anticipate needs, and follow through with limited direction. As you develop context and trust, responsibilities may expand into operations, project coordination, process improvement, and broader business support.
Executive support responsibilities
- Manage the founder's inbox by filtering messages, drafting responses, tracking follow-ups, and identifying items that need attention.
- Handle complex calendar management, protect the founder's time, and coordinate meetings across multiple time zones.
- Track upcoming meetings, deadlines, commitments, and follow-ups.
- Organize meeting materials, relevant information, and background context.
- Arrange travel, accommodations, reservations, and related logistics.
- Provide light personal administrative support and coordinate personal and professional commitments.
- Draft clear, professional correspondence and communicate with investors, partners, advisors, vendors, and other external stakeholders.
- Handle sensitive information discreetly and use judgment to decide when to act independently or escalate.
- Review overnight messages early in the day and stay ahead of emerging priorities.

- Supporting operational processes, documentation, and internal workflows.
- Coordinating with internal team members and external partners.
- Managing project follow-ups and taking ownership of projects through completion.
- Supporting events, meetings, business initiatives, and public relations coordination.

- Assisting the internal operations lead.

- Use AI tools and cloud-based software to research, organize information, automate repetitive tasks, and solve problems.
- Learn new tools and systems as business needs evolve.

What you'll need
- Direct experience supporting a founder, entrepreneur, startup leader, or senior executive.
- Strong experience working in a fast-moving startup environment.
- Excellent written and spoken English and polished professional communication skills.
- A proactive, self-directed approach and the ability to execute without constant instructions.
- Strong business judgment, resourcefulness, and problem-solving skills.
- Ability to anticipate needs, manage ambiguity, adjust to shifting priorities, and handle varied responsibilities.
- Strong organizational skills and exceptional attention to detail.
- Ability to receive direct feedback, adjust quickly, and remain calm and reliable under pressure.
- Comfort using AI tools, cloud-based software, and modern technology.
- Availability to start early, ahead of the founder's typical 8:30 AM EST start, and occasionally respond outside regular hours to urgent matters.
Experience that would be a plus
- Chief of Staff experience.
- Startup operations or business operations experience.
- Experience working closely with entrepreneurs or high-growth companies.
- Experience managing projects or cross-functional initiatives.
- Experience improving processes or building systems from the ground up.
- Experience coordinating external vendors, advisors, partners, or other stakeholders.
- Interest in expanding into operations and project management responsibilities.
Experience in finance, private equity, venture capital, or investments is not required.
