Overview
You’ll help manage the daily movement of freight by coordinating shipments, communicating with drivers and carriers, tracking deliveries, maintaining accurate records, and keeping customers informed. This role requires strong organization, consistent follow-up, and the ability to manage multiple active shipments at the same time.
Shipment planning and tracking
- Coordinate shipments from initial scheduling through final delivery.
- Review pickup locations, delivery destinations, quantities, timing, and other shipment requirements.
- Schedule pickups and deliveries with carriers, drivers, warehouses, and customers.
- Monitor active shipments and identify potential delays before they affect delivery.
- Update shipment details and status information in logistics and transportation systems.
- Adjust schedules when transportation or operational conditions change.
- Track estimated pickup and delivery times using carrier portals, GPS tools, tracking systems, or transportation software.
Carrier and customer communication
- Communicate with carriers, drivers, brokers, customers, warehouses, and transportation partners.
- Confirm pickup and delivery appointments and provide required shipment instructions.
- Request status updates and estimated arrival times from transportation partners.
- Follow up on delayed, missed, or incomplete pickups and deliveries.
- Provide customers and internal teams with timely shipment updates.
- Respond to questions about delivery schedules and changing shipment conditions.
- Document customer requests and shipment-related communications.
Freight records and documentation
- Prepare and maintain bills of lading, delivery confirmations, shipment records, and related logistics documents.
- Verify shipment, carrier, customer, and delivery information for accuracy.
- Collect proof-of-delivery documentation when required.
- Maintain organized electronic shipment records.
- Resolve discrepancies involving freight documents or delivery information.
- Assist with freight documentation and invoice-related coordination.
Delivery issues and operational support
- Investigate delayed, missing, damaged, refused, or misdirected shipments.
- Work with carriers and customers to determine appropriate solutions.
- Document transportation exceptions and their resolution.
- Escalate significant or recurring logistics problems when necessary.
- Coordinate loading, unloading, delivery appointments, and special instructions with warehouse teams.
- Help resolve differences between shipment records and delivery documentation.
- Prepare shipment-status reports and track delivery performance, delays, cancellations, and other logistics metrics.
- Support operational reporting, special projects, and process improvements.
Required experience and skills
- High school diploma or equivalent.
- 1-3 years of experience in logistics, transportation, dispatch, freight coordination, supply chain, customer service, or a related field.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and data accuracy.
- Ability to manage multiple shipments, priorities, and deadlines simultaneously.
- Strong problem-solving and follow-up skills.
- Proficiency with Microsoft Excel or Google Sheets.
- Comfort using logistics platforms, email, tracking systems, and other computer-based tools.
- Ability to work independently in a remote or hybrid environment.
Preferred background
- Associate's or bachelor's degree in Logistics, Supply Chain Management, Business Administration, Transportation, or a related field.
- Experience with freight, trucking, third-party logistics, brokerage, distribution, or last-mile delivery.
- Familiarity with transportation management systems.
- Experience using carrier portals and shipment-tracking platforms.
- Knowledge of bills of lading, proof of delivery, freight documentation, and delivery appointment processes.
- Previous experience coordinating logistics remotely.
