About the Role

The Executive Assistant provides high-level administrative and operational support to the Chief Operating Officer, with matrixed support for additional senior executives. The role centers on protecting leadership time, managing complex calendars, coordinating Executive Committee and Board meetings, arranging executive travel, preparing communications and presentations, and maintaining consistent follow-through on action items. The position also handles expenses, invoices, purchase requests, department events, and sensitive information requiring sound judgment and discretion.

Executive Support & Coordination

  • Manage complex, frequently changing calendars for multiple executives, resolve scheduling conflicts, and anticipate needs before they affect leadership priorities.
  • Coordinate logistics, agendas, materials, and scheduling for Executive Committee meetings, Board meetings, leadership offsites, and town halls.
  • Develop detailed executive travel itineraries, including flights, lodging, and ground transportation.
  • Draft, proofread, and format correspondence, presentations, and reports on behalf of supported executives while exercising appropriate judgment with confidential information.
  • Process and reconcile expense reports, invoices, and purchase requests in accordance with established company policies.
  • Serve as a primary point of contact between supported executives and leadership teams, Executive Committee members, Board members, regulators, and external partners.
  • Attend selected leadership meetings, capture notes and action items, monitor commitments through completion, and follow up with stakeholders to maintain schedules and accountability.
  • Coordinate team offsites and department events in partnership with the Facilities & Events Manager, including budget and vendor coordination.
  • Partner with the Executive Assistant supporting the CEO to align executive scheduling practices and provide backup coverage across the executive suite.
  • Maintain strict confidentiality when working with sensitive executive and business information.

Candidate Profile

Required Experience & Skills

  • 5+ years of experience as an Executive Assistant supporting C-suite or senior executives, ideally within financial services or fintech.
  • Demonstrated ability to manage multiple complex and competing executive calendars while handling confidential and sensitive information with sound judgment and discretion.
  • Advanced proficiency with Google Workspace and Mac, along with expense and travel management platforms.
  • Strong written and verbal communication skills, including the ability to professionally represent executives with Board members, regulators, and external partners.
  • Proven ability to establish trusted working relationships with senior executives, Board members, and cross-functional stakeholders at all levels.
  • High degree of professionalism, initiative, and adaptability in a fast-paced, deadline-driven environment.
  • Ability to independently assess executive priorities, determine what requires immediate attention, and manage calendar, inbox, and priority-management systems effectively.
  • Ability to travel at least six times per year for in-person collaboration.

Preferred Qualifications

  • Experience supporting executives within a regulated bank, credit union, or other depository institution.
  • Familiarity with Board and Board Committee meeting logistics, materials preparation, and governance practices.
  • Bachelor's degree.

Work & Pay Details

  • Location: United States
  • Workplace: Remote
  • Employment Type: Full-time
  • Travel: At least six trips per year for in-person collaboration
  • Base Salary: $87,000–$122,000 per year
  • Additional Compensation: Eligible for participation in annual incentive and equity programs; these are separate from base salary.
  • Final base pay is determined using role-related factors including work experience, education, certifications, training, skills, and competencies.
