About the opportunity
Support the President of a growing national personal injury law firm by managing communications, priorities, scheduling, and follow-through across teams. This role combines executive administration with close involvement in legal operations, financial approvals, executive onboarding, and board communications.
What you'll manage
- Lead a daily morning check-in with the President to align priorities, identify risks, and protect time for strategic work.
- Manage the President's inbox and team messaging, triage requests, draft responses, route information, and track items requiring attention.
- Convert recorded meeting transcripts into clear action items within 24 hours and follow them through to completion.
- Own calendar management and coordinate meetings with executives, attorneys, and external partners.
- Coordinate with operations, finance, technology, and people teams on key hires, state launches, and board follow-ups.
- Support executive onboarding, travel arrangements, off-site events, and board meeting preparation.
- Provide direct, constructive feedback to the President and exercise judgment about when to raise concerns.
Required background and skills
- Experience supporting C-suite leaders as an Executive Assistant at a high-growth company with more than 400 employees.
- Exposure to legal services, financial services, or multi-state operations.
- Outstanding written communication and the ability to draft in a senior leader's voice.
- Strong organization and consistent follow-through.
- Emotional intelligence, professional discretion, and confidence communicating candidly with leadership.
- Ability to create structure in ambiguous, fast-moving situations.
- Proficiency with email, team messaging, calendars, and project tracking tools, with the ability to learn new systems quickly.
- Fluency with AI tools as part of everyday work.
- Adaptability, openness to feedback, accountability, and a collaborative approach to problem-solving.
